How I handle your information

Who we are

The Marketing Company is a sole trader based in the United Kingdom. We run Meta advertising for aesthetic, skin and laser clinics.

We are the data controller for the information described below. You can reach us at help@themarketingco.uk.

What we collect

If you fill in one of our lead forms on Facebook or Instagram, we collect:

• your name
• your email address
• your phone number
• your answers to the questions on the form, which cover the type of clinic you run, whether you currently run paid ads, and roughly how many new patient enquiries you get a month

Meta fills your name, email and phone in for you from your Facebook or Instagram profile. You can change them before you submit. We do not receive anything else from your profile.

If you do not qualify on the first question, the form closes without collecting your contact details and we receive nothing.

If you fill in the enquiry form on this website, we collect the details you type into it: your name, clinic name, email address, phone number, town, clinic website if you give it, the type of clinic you run, whether you run paid ads, and anything you write in the message box.

This website does not use advertising or analytics cookies, and does not track you across other sites.

Why we use it

We use it to contact you about the enquiry you made, to answer your questions, and to work out whether what we do is a fit for your clinic.

Our lawful basis is legitimate interests: you asked us to get in touch, and contacting you about that is what you would reasonably expect. You can tell us to stop at any time and we will.

We do not sell your information and we do not share it for anyone else's marketing.

How long we keep it

Twenty four months from the last time you were in contact with us, then we delete it.

If you ask us to delete it sooner, we will do that instead.

Who else handles it

We use a small number of services to run the process. Each of them handles your information on our instructions only:

• Meta Platforms hosts the Facebook and Instagram forms and holds your submission until we retrieve it
• Vercel hosts this website
• Google stores it in a spreadsheet we use to track enquiries, and provides our email
• Zapier moves it between those services and alerts us so we can respond quickly
• an email and SMS provider sends our follow-up messages

Some of these companies are based in the United States. Where information leaves the UK, it is protected by the safeguards in the UK GDPR, such as the UK International Data Transfer Agreement or an adequacy decision.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the information we hold about you
• ask us to correct it if it is wrong
• ask us to delete it
• ask us to stop using it, or to restrict how we use it
• object to us using it under legitimate interests
• ask for it in a portable format

To do any of these, email help@themarketingco.uk. We will respond within one month. There is no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first at help@themarketingco.uk and we will try to put it right.

You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection.
